How to compare HVAC replacement quotes (a checklist)

Two quotes for "a new AC" can describe very different jobs. Before comparing totals, make them comparable.

  1. Same equipment class. Write down the brand, model numbers for the outdoor and indoor units, tonnage and SEER2/HSPF2/AFUE. Look up the matched system rating in the AHRI Directory.
  2. Sizing method. Ask whether they did a load calculation (ACCA Manual J) or matched the old unit's size. A real load calc is a sign of care.
  3. Scope. Is the indoor coil or air handler included? Line set? Pad? Thermostat? Electrical disconnect and whip? Duct changes?
  4. Permit and inspection. Is pulling the permit included? HomeAdvisor lists permits at roughly $50 to $300.
  5. Removal and disposal of old equipment and refrigerant.
  6. Warranty. Separate the manufacturer parts warranty (often needs registration) from the contractor's labor warranty, and get both in writing.
  7. Payment terms. Deposit size, when the balance is due, financing APR.

Once the scope matches, compare totals and see where yours falls against real submitted quotes.
